Frequently Asked Questions

Most podcasters already use a "system" to manage their podcast using tools like Excel or Trello to track their episode production status, deliverables and tasks. A "Podcast Management System" or "PMS" is a suite of tools designed to save podcasters time and energy as well as to automate many of the "automate-able" production tasks like emailing an information request questionnaire to your podcast guest to gather their bio, headshot, etc. or to send an email notification the day before an interview to prep your guest. Additionally, PodTask's workflow functionality will auto-assign pre-defined tasks to you or your team based on how you might delegate your production tasks that repeat with each episode you produce. Absolutely! Our affordable subscription plans all include hosting, distribution and listing on all the major podcast players and listening services like Apple Podcasts, Spotify and more. Each plan includes a certain number of hours of content upload each month, starting with up to 2 hours of content on the Forever Free plan. However, you can always upload more content at an affordable cost. As a podcast hosting and management platform, you'll have access to almost real-time download numbers, location statistics, growth calculations and more.

Yes, PodTask goes way beyond just hosting. The goal with PodTask from the outset was to save podcasters time and energy by automating many of the time-consuming tasks and notifications so that podcasters can spend more time on the important stuff, namely creating great content for their audience. PodTask includes questionnaires, workflow automation, AI-based marketing tools, task and event management, and several guest management features.

If you sign up for the "Featured" or "Agency" plans, you'll be able to take advantage of PodTask's workflow automation features that put much of your production management processes on auto-pilot. Choose to activate one of the two best-practice workflows that aligns more with your production flow, and customize from there. Or, build a workflow from scratch. A workflow is a set of pre-defined tasks and notifications that you apply to your podcast. Each new episode record that you create will inherit the workflow although you can choose which tasks or notifications auto-apply with each new episode. For example, you can set your workflow to send out a "Thanks for Booking as a Guest" email one day after the episode is created. One of the most helpful workflow features is an automatic questionnaire you can have sent to your newly-booked guests so that you can gather their information and save their responses right into PodTask. Workflows can also have a defined set of tasks that can be added and assigned with each new episode you create so that you and/or your team know what they need to work on and when they need to have those tasks completed. This helps you stay on time and on track and maintains a level of consistency with each episode you produce. These are just some of the benefits of PodTask's workflow automation features.

We're podcasters too and we know that people like to build their own production flow and cadence. PodTask was designed to fit to any unique production process, so the ability to customize a workflow specific to your process was a core goal of ours. You can choose to apply one of our "Best Practice" workflows to your podcast and customize it from there, or build a workflow from scratch. Once you activate a workflow you can always tweak it over time to better suit your particular process.

For sure! Being podcasters ourselves, what used to take us up to 8 hours in episode production now takes us like 30 minutes through our integration with OpenAI, the platform that brought us ChatGPT. With the click of a button, the PodTask "Content Creator" will help you generate your episode show notes, social media posts, and more. Want to modify what the "Content Creator" suggested? Absolutely! You have the ability to change any of the suggested content before you publish. Also, let us introduce you to "Podrie", our super-smart super helper built from AI. On the PodTask dashboard, type in any podcast-related query into Podrie's search field and see what she says, much like ChatGPT. Podrie is connected with your podcast data and history and makes great recommendations suited to your specific profile.

Yes, whether you choose to host your podcast on PodTask or just take advantage of the podcast management system features, you can import all of your podcast and episode details with the click of a button in PodTask. If you choose to migrate your hosting from another platform into PodTask, the import process will copy all of your hosted audio content to PodTask. It's important to note that when you import your show to PodTask for hosting, that process by itself does not tell the various podcast services to immediately switch to PodTask. The final step in activating hosting for your existing show in PodTask is to update the RSS Feed Url in the various directories to point to your PodTask hosting Url. So if you were looking to give PodTask a whirl before fully switching your hosting, this process ensures that you can do so easily and on your own time frame.

Yep! You'll need to sign up for the Agency Plan, which allows you to set up an unlimited set of podcasts. This plan is perfect for podcast agencies that want to get away from spreadsheets and start managing all aspects of their podcasts within a single platform.

Nope - we don't believe in locking people down like that. We're pretty confident that once you start using the platform you will not want to cancel but if you ever want to downgrade or cancel your plan you can do so at any time.

All subscription plans include podcast hosting but if you wanted to stay with your current host and just use PodTask to manage your show, you're able to do so. Simply choose "Manage Only" for your podcast and all of the Podcast Management System features will be available for you to help manage your show. Want to migrate your hosting after you've already been using PodTask to manage your episodes? No problem, just change from "Manage Only" to "Manage + Hosting" and our import process will migrate all of your existing content to PodTask.

As of December 2024 PodTask does not include editing or recording, but we're ambitious so you never know what we might be up to next. Good question!
